After-hours admissions voice agent
An AI voice agent answers the admissions line nights and weekends, collects basics, and hands callers to on-call staff.
What it does
Picks up on the first ring when no one on staff can, says it is automated, answers approved questions, collects name, callback number, and insurance, and books a callback or warm-transfers to the on-call rep.
Where the privacy line sits
Callers share substance use details, insurance, and contact information, so the vendor and its subcontractors are handling PHI and need a BAA. Federally assisted SUD programs also need Part 2 consent handling reviewed by counsel. Outbound AI callbacks generally need prior express consent under the TCPA.
- PHI: BAA required. Touches protected health information. Needs a Business Associate Agreement if HIPAA applies.
- 42 CFR Part 2. May touch substance use disorder records covered by Part 2. Get counsel's review of consent and redisclosure.
- Crisis handoff required. Must route crisis statements to a human immediately (911 for emergencies, 988 for the Suicide and Crisis Lifeline).
- Consent for AI calls or texts. AI-voiced calls generally need prior express consent under the TCPA. Have counsel review consent language.
What stays human
Clinical placement, crisis response, cost and coverage promises, and the conversation where someone decides to come in.
